How to Request a Leave of Absence
Sample dataRedrawn from Claromentis 11. It plays by itself.
Company information rarely lives in one place. Policies sit on a shared drive, updates get lost in email, and people ask a colleague for a document they should be able to find themselves. Each department keeps its own lists and its own copies.
So people search for longer, ask the same questions again, and aren’t sure which version is current.
Someone needs the leave policy and can’t tell whether it’s on the shared drive, in SharePoint or attached to an old email.
They search once and open the current version in Policy Manager. Older versions stay there as an archive.
It went out by email, in a chat and at a team meeting, and some people missed all three.
It’s posted once in News, in the channel for the people it concerns. When everyone must confirm they’ve read it, an Announcement asks each person to accept it and records who did.
Someone knows which department can help, but not who in it.
They search People by name or keyword and find the person, with their job title and how to reach them.
Three copies sit in three folders, each slightly different.
One copy lives in Documents, and every upload is kept in its version history.
An intranet is a private website where your people find company news, policies, documents and each other. Claromentis gives each of them one of its intranet applications, in one place shaped around your departments and locations.
Each card is one of the intranet applications that come with a Claromentis licence. Together they cover what people look for every day: news, policies, documents, answers and each other.
Publish updates to the people, teams or sites they concern.
Schedule an article, pin it to the top until a date, or have it taken down on a date.

To request a leave of absence, employees must submit a request using the Holiday Planner application on the intranet.
Knowledge BaseAI Search comes with the intranet applications on Claromentis’s cloud. Ask in your own words and the AI Overview answers above the results, with links to its sources. It only draws on what that person is allowed to open. Check the source before you act on an answer.
Extranets, Polls and surveys, Holiday Planner and Room Booking come with the licence too. An extranet gives suppliers, partners or clients a sign-in to a cut-down view of your intranet, and its users count towards your licence. Polls and surveys can show results as the votes come in.
Follow one employee from a question to the right person, on screens drawn from our own working Claromentis portal. The labels are the product’s. The people are made up.
Leila needs to take a leave of absence, so she searches for it. One search covers News, Documents, People, the Knowledge Base, Policy Manager and the rest, and the how-to article comes first.
To request a leave of absence, employees must submit a request using the Holiday Planner application on the intranet.
Knowledge BaseKey guidelines and steps for requesting a leave of absence include:
Above the results, the AI Overview answers in a line and names the Knowledge Base article it used. Show more lists the notice period, the documents HR may ask for and who to contact, each with its source.
The answer says to ask HR. She opens People, finds Amira Haddad, the HR business partner, and sees how to reach her.
Find the information. Understand what it means. Reach the right person.
Put people into roles and groups once, by department, site or job title, and use them everywhere. Each news channel, folder, knowledge base category, page and policy has its own permissions, so two people in the same folder can see different files. The applications list changes with the person too: each person sees only the icons you give them. A team lead can manage the accounts in their own group without becoming a full administrator.
Claromentis works in the browser on a laptop, a tablet or a phone, and there’s a free Claromentis app in the App Store and Google Play. Once you set up push notifications, people who follow a news channel are told on their phone when something is posted. Someone on a site visit sees it before they’re back at a desk. If your site can only be reached through a VPN, a branded app with your own logo works with it, at extra cost.

How to Request a Leave of Absence
Start with the intranet applications, which include AI Search on Claromentis’s cloud. Add process automation or learning when you need them.
Want a request such as a leave of absence to run through Claromentis, with an approver and a record of every step? That’s Business Process Automation, an add-on to the intranet applications.
Claromentis LMS is the learning add-on. It shows who has completed each course and when, and runs the SCORM 1.2 courses you already have.
The AI Assistant answers staff questions from what your intranet applications hold, and each team can have agents of its own. An administrator builds each agent from instructions and skills, and decides who may use it.
AI agents come with your Claromentis intranet licence. They aren’t a separate licence.
Our founder ran Claromentis for a healthcare group, so we know what an auditor and an IT security lead ask to see.
Claromentis holds ISO 27001:2022 (certificate 227467) and ISO 9001:2015 (certificate 214260). Claromentis states it is HIPAA compliant.
You choose where your intranet is hosted, from the locations in Claromentis’s privacy policy. Claromentis’s security page says customer data is permanently deleted 30 days after a contract ends.
The certificates are Claromentis’s, not ours. What we add is the set-up, including a review of your permissions before any AI is switched on.
Keep Microsoft 365 for email and files, and make Claromentis the place people go for news, policies and answers.
People can sign in with their Microsoft Entra ID account or through Okta. Files in OneDrive or Google Drive can be linked, so the same search finds them. New news articles can post to a Microsoft Teams channel through an RSS feed. A SharePoint site can’t be embedded in a Claromentis page, because Microsoft doesn’t allow it, so we link to it instead. Single sign-on and account sync are part of the scope, and we price them before you commit.
We agree a fixed scope and price in writing before any work starts. Year one covers the first year’s Claromentis licence, our fixed-scope work to get you live and the cloud installation fee. Your quote can include the Business Process Automation and Learning Management System add-ons, depending on your scope.
Support after go-live and a branded mobile app are on top. The licence runs for a year, payable monthly, quarterly, half-yearly or yearly, and we quote in your currency.
The intranet applications on this page, AI Search included, come with the intranet licence on Claromentis’s cloud.

How many people. The licence follows the number of users, and extranet users count too.
Your existing content. How much there is, and what state it’s in, shapes the work of moving it.
Sign-in and other systems. Single sign-on, account sync and anything else we connect add work, and we find out how much before we quote.
Add-ons. Process automation and learning are licensed on top of the intranet applications.
An intranet earns its place when it matches how your organisation works and your people know how to use it. We plan it with you, set it up around your departments, sites and permissions, and train the people who will run it.
Our founder ran Claromentis for a healthcare group for seven years. How to structure it, who should see what, and how to launch it are decisions he has made on a live intranet before.
We agree how your departments, sites, roles and permissions fit together before we configure anything.
You deal directly with the person setting up your site, from the agreed scope through testing to training your administrators.

Harsh Divecha, who founded Techspire IT, ran Claromentis for seven years for a healthcare group with more than 850 users in more than 20 countries. Claromentis’s own announcement of the partnership names his Department-First approach.
Claromentis makes the software and holds its certificates. We set it up and look after it with you.
You don’t need to plan the whole project before you see Claromentis. Look first, then agree the scope, then build.
A live demo on a working Claromentis portal, with AI Search, automation or learning if they matter to you.
A 30 day Claromentis site registered to your organisation through us. Add your own content and see how it answers.
Your departments, users, content, permissions, add-ons and any systems to connect, with the price, in writing.
We configure the agreed structure, prepare the content and permissions with you, test it, and train your administrators.
Your people start using it, and you have a partner to call as your needs change.
Plan on 6 to 8 weeks from the agreed scope to go-live. A large migration, several connected systems or custom work can take longer.
The right intranet applications fit how your organisation works, and that’s hard to judge from a feature list. Check these five before you commit.
Ask to see a real search: a policy, a how-to guide and a person, from one box.
Check the permissions on confidential folders and on information meant for one department. If you’ll invite suppliers or clients, check what they can see. In Claromentis an extranet is a view inside your intranet, so content open to everyone who signs in includes them until you change it.
Decide what moves, what gets rewritten and what’s archived. Copying everything across brings the old problems with it.
Find out who configures it, prepares the content, trains your administrators and helps after launch.
Ask which intranet applications the licence includes, what the add-ons cost, and how users, migration and connected systems change the price.
Ask for a 30 day playground: a Claromentis site of your own, registered to you through us as your Claromentis partner. From the day it opens you can add your own content, switch on the AI and get answers from it.
The form asks for your name, business email and company.

News, Policy Manager, Documents, People, Knowledge Base and Pages, with AI Search on Claromentis’s cloud. Extranets, Polls and surveys, Holiday Planner and Room Booking come with them. Process automation and learning are add-ons on top of the intranet licence.
An intranet is for your own people. An extranet lets people outside, such as suppliers, partners or clients, sign in to a cut-down view of it. In Claromentis an extranet sits inside your intranet with its own look, homepage and menu, and its users count towards your licence.
Yes. Claromentis comes with its intranet applications ready to set up, while SharePoint is a tool you build an intranet with. You can keep Microsoft 365 for email and files and make Claromentis the place people go for news, policies and answers. Which suits you depends on how you use SharePoint today and who would build and run it.
Yes, as part of the agreed scope. How much there is and what state it’s in set the effort, the price and the timing, so we look at it before we quote. On Claromentis’s cloud, a bulk import of documents is done by Claromentis’s own team on request.
Plan on 6 to 8 weeks from the agreed scope to go-live. The clock starts when the scope is agreed, not at the first call. A large migration, several connected systems or custom work can take longer.
We do. Techspire IT plans the structure with you, sets it up, prepares the content and permissions, and trains your administrators. What support you have after go-live is agreed in the scope.
A Claromentis intranet is priced on your scope: how many people use it and how much we set up for you. Your quote can include the Business Process Automation and Learning Management System add-ons. We agree a fixed scope and price in writing before any work starts. See what moves the price.
Yes. Ask for a 30 day playground, a Claromentis site of your own. Add your own content, switch on the AI and see how it answers before any contract.
No. Search results and AI Overviews only show each person what they’re allowed to open, using the permissions your intranet applications already have. We review those permissions before any AI is switched on.
For branding, yes: themes set your logo, colours and menus, and a group such as a supplier extranet can have a look of its own. For integrations, people can sign in with Microsoft Entra ID or Okta, and files in OneDrive and Google Drive can be linked. Anything that must read from or write to another system, we look at and price before you commit.
Your organisation has its own departments, information and ways of working. Tell us how it runs today, and we’ll show you how Claromentis would fit it and what setting it up involves.
